This Privacy Policy explains how Alice Kaufmann, sole proprietor (“Call It Something,” “I,” “me,” or “my”) collects, uses, stores and shares personal information when you visit callitsomething.com, contact me, subscribe to communications, schedule a conversation, become a client or otherwise interact with me.

I believe privacy information should describe what actually happens with your information. This Policy therefore reflects the way Call It Something currently operates rather than every possible feature available through the platforms I use.

1. Who Is Responsible for Your Information

For purposes of applicable data protection law, I am responsible for the personal information I collect and process in connection with my business, except where a third-party provider processes information independently under its own privacy terms.

2. Personal Information I Collect

The information I collect depends on how you interact with Call It Something.

Information you provide directly

When you contact me, submit a form, schedule a conversation, subscribe to communications or work with me, I may receive information such as:

  • your name;
  • your email address;
  • your telephone number, where you choose to provide it;
  • your company or business information;
  • information you provide about your idea, business, project, problem or inquiry;
  • communications and correspondence between us;
  • documents, materials or other information you choose to provide during an engagement;
  • information reasonably necessary to prepare proposals, agreements and invoices; and
  • payment and transaction information where applicable.

Please do not send highly sensitive personal information unless it is genuinely necessary for our work and we have agreed on an appropriate way to handle it.

Information collected when you visit the website

This website is hosted on Shopify.

When you visit the website, Shopify and related technologies may automatically process information such as:

  • IP address;
  • browser and device information;
  • network and connection information;
  • cookie or similar identifiers;
  • pages viewed and interactions with the website;
  • approximate location derived from technical information; and
  • information about how and when the website is used.

I currently use Shopify Analytics to understand general website traffic and how visitors interact with the site.

The website is not currently used as an ecommerce checkout for my consulting services. I therefore do not currently collect shopping cart, shipping, return or product-order information through this website as part of my consulting business.

3. How I Collect Information

I may collect personal information:

  • directly from you when you contact me, submit a form, subscribe, schedule a meeting or become a client;
  • automatically when you visit the website, including through Shopify, cookies and similar technologies;
  • through service providers I use to operate the website and business;
  • through scheduling or communication services you choose to use when interacting with me; and
  • where appropriate, from publicly available professional or business sources.

4. Why I Use Personal Information

Depending on our relationship, I may use personal information to:

  • respond to inquiries;
  • understand what you are working on and whether I can help;
  • schedule meetings and conversations;
  • prepare proposals and agreements;
  • provide consulting and other agreed services;
  • communicate with you during an engagement;
  • create and share project materials;
  • manage client relationships;
  • issue and administer invoices and payments;
  • maintain business and accounting records;
  • operate, secure and improve the website;
  • understand website usage;
  • send newsletters or other communications you have requested;
  • protect my business and website against misuse, fraud or security threats;
  • establish, exercise or defend legal claims; and
  • comply with legal, regulatory, tax and accounting obligations.

I do not collect personal information simply because it might someday be useful.

5. Legal Bases for Processing

Where the General Data Protection Regulation (“GDPR”), UK GDPR or similar law applies, I process personal information only where there is an appropriate legal basis.

Depending on the circumstances, this may include:

Contract. Processing necessary to take steps at your request before entering into a contract or to perform an agreement with you.

Legitimate interests. Processing reasonably necessary to operate and protect my business, communicate with prospective or existing clients, maintain appropriate business records and improve my services, where those interests are not overridden by your rights.

Consent. Where you have given consent, for example for certain marketing communications or non-essential cookies where consent is required.

Legal obligation. Where processing is necessary to comply with applicable law.

You may withdraw consent at any time where processing is based on consent. Withdrawal does not affect processing that was lawful before consent was withdrawn.

6. Contact Forms and Inquiries

When you use a contact form on this website, I may collect your name, email address and the information you provide about your business, idea, project or question.

I use this information to understand and respond to your inquiry and, where appropriate, determine whether and how we might work together.

Submitting a form does not create a client relationship.

If an inquiry does not result in an engagement, I generally retain the related personal information for no longer than 12 months after our last substantive contact, unless there is a legitimate or legal reason to retain it longer.

7. Scheduling

I may use Calendly to allow you to schedule conversations with me.

When you use Calendly, you may be asked to provide your name, email address, information about what you would like to discuss and, optionally, your telephone number.

Calendly processes information through its own systems and according to its own privacy practices.

I use scheduling information to arrange and prepare for our conversation and to communicate with you about the appointment.

8. Client Work and Google Drive

During a client engagement, project files and materials may be stored locally on devices I control and/or in Google Drive.

Google Drive may also be used to share documents and work with you during an engagement.

Project information may include business information, strategy documents, communications, drafts, research, brand materials, written work and other information necessary to perform the agreed services.

Access to shared project materials is limited as reasonably appropriate to the engagement.

9. Google Meet

Meetings may be conducted using Google Meet.

Unless we expressly agree otherwise in advance, I do not record client meetings.

If recording ever becomes useful for a particular engagement, I will inform you beforehand and obtain any consent required by applicable law before recording.

10. WhatsApp

If you prefer, we may use WhatsApp for informal or practical project-related communication.

Using WhatsApp is optional. It is not my intended channel for sending highly sensitive or confidential information or documents.

WhatsApp is operated by a third party and processes information according to its own privacy practices. If you choose to communicate with me through WhatsApp, information associated with that communication may also be processed by WhatsApp and its service providers.

For sensitive or substantial project materials, I may ask you to use another communication or file-sharing method.

11. Newsletter and Marketing Communications

You may have the option to subscribe to a Call It Something newsletter or other email communications.

If you subscribe, I will use the information you provide, generally your name and/or email address, to send the communications you requested.

Where required by applicable law, these communications will be sent on the basis of your consent.

You can unsubscribe at any time using the unsubscribe link provided in the email or by contacting me.

After you unsubscribe, limited information may be retained on a suppression list where necessary to ensure that your preference is respected.

The specific email service provider used for the newsletter may change or be added in the future. This Privacy Policy will be updated where appropriate to identify material service providers or changes in how personal information is processed.

12. Payments

Consulting services are currently contracted separately rather than purchased through a Shopify checkout.

Depending on the agreed payment method, payments may be made by bank transfer or processed through a third-party payment provider.

Where a third-party payment provider is used, payment information such as card or bank details may be collected and processed directly by that provider under its own privacy terms.

Call It Something does not intend to directly store complete payment card information.

The applicable payment provider will be identified where relevant, and this Privacy Policy will be updated if my regular payment processing practices materially change.

13. Shopify and Shopify Network Intelligence

This website is hosted and powered by Shopify.

Shopify provides the technical infrastructure used to operate the website and collects and processes personal information relating to your access to and use of the website. Information you submit through or generate when interacting with the website may therefore be transmitted to and processed by Shopify and its service providers, including providers located in countries other than your country of residence.

I currently have Shopify Network Intelligence enabled. This allows Shopify to use certain information about interactions with this website together with information from interactions with Shopify and other Shopify merchants to provide, develop and improve Shopify's enhanced services, which may include analytics, personalization and advertising-related services.

In connection with these enhanced services, Shopify may process certain personal information for its own purposes as a data controller or “business” under applicable privacy laws.

Depending on where you live, Shopify's use of information for certain advertising-related purposes may be considered “sharing,” “sale,” or processing for “targeted advertising” under applicable U.S. state privacy laws. Where applicable, you may opt out through the Data Sharing Opt-Out page available on this website.

If you are located in the European Economic Area, United Kingdom or Switzerland, consent will be requested where required for Shopify's use of cookies, similar technologies or personal information for purposes requiring consent.

14. Cookies and Similar Technologies

This website uses cookies and similar technologies required for the website to function and, depending on your choices and location, technologies used for analytics and related purposes.

I use Shopify's customer privacy and cookie consent tools to manage applicable privacy choices.

Where applicable law requires consent before non-essential cookies or similar technologies are used, those technologies should not be activated until the required consent has been obtained.

You can use the cookie/privacy controls presented on the website to manage available choices.

Changing or withdrawing consent does not affect processing that lawfully occurred before the change.

Shopify provides merchants with cookie-banner and customer-privacy tools specifically for managing these choices across different jurisdictions.

15. Advertising and Tracking Technologies

I do not currently use Meta Pixel, LinkedIn Insight Tag or other independently configured third-party advertising pixels on this website.

However, as described above, Shopify Network Intelligence is currently enabled. Shopify may process information relating to interactions with this website as part of its enhanced services, including certain analytics, personalization and advertising-related services.

Depending on where you live, you may have the right to opt out of certain uses of personal information for targeted advertising, sale or sharing. Where applicable, you can exercise those choices through the Data Sharing Opt-Out page available on this website.

If I introduce additional advertising or tracking technologies, such as Meta Pixel or LinkedIn Insight Tag, I will update this Privacy Policy as appropriate and configure applicable consent and opt-out mechanisms before or in connection with their use.

16. Artificial Intelligence

I may use artificial intelligence tools as part of my professional workflow for purposes such as research, ideation, analysis, drafting or working with non-personal project information.

AI tools are used as working tools and do not replace my professional judgment.

I do not knowingly provide personally identifiable client information to public generative AI systems as part of my work.

Where the nature of a project requires sensitive information to be processed through a third-party technology in a material way, I will address that use transparently where appropriate.

17. When I Share Personal Information

I do not sell client contact information.

I may disclose personal information where reasonably necessary:

  • to Shopify for operation and hosting of this website;
  • to Google in connection with Google Drive and Google Meet;
  • to Calendly when you use scheduling functionality;
  • to a newsletter provider if you subscribe to email communications;
  • to a payment provider where one is used;
  • to professional advisers such as accountants, attorneys or tax professionals where reasonably necessary;
  • to technology or service providers necessary to operate my business;
  • where you ask or authorize me to disclose information;
  • to comply with law, legal process or a valid governmental request;
  • to establish, exercise or defend legal rights; or
  • in connection with a future sale, transfer or restructuring of all or part of the business, subject to applicable legal requirements.

Service providers receive only the information reasonably necessary for the relevant purpose where I control that disclosure.

18. Client Work, Professional Archives and Reference Material

Client work and professional work product can form an important part of my professional archive.

I may retain work product, final deliverables, strategy materials, research, creative work and other professional reference material for an extended period, including indefinitely where there is a legitimate professional reason to preserve it.

This does not mean that all personal information associated with a project is retained indefinitely.

Where personal information, private communications or confidential client information is no longer necessary for the archival or professional purpose, I will seek to remove, separate or anonymize it where reasonably practicable.

Retention of work as professional reference material does not give me permission to publicly identify you as a client or publish confidential client work.

Identifiable client work, testimonials or case studies will only be published in accordance with the permissions agreed with the client.

19. How Long I Keep Personal Information

I retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including providing services, maintaining appropriate business records, complying with legal obligations and establishing or defending legal claims.

As a general approach:

Unsuccessful or preliminary inquiries: normally no longer than 12 months after the last substantive contact.

Active client information: for the duration of the engagement.

Project and client communications: generally for up to 3 years after the engagement ends, unless there is a legitimate or legal reason to retain them longer.

Contracts, invoices, accounting and tax records: for the period required by applicable tax, accounting and other laws.

Newsletter information: while you remain subscribed and, where necessary, limited suppression information after unsubscribing.

Professional work product and reference material: potentially for an extended period or indefinitely, subject to the safeguards described in Section 18.

These periods may be shortened or extended where required by law, necessary for legal claims or reasonably necessary because of the particular nature of an engagement.

20. International Data Transfers

Call It Something is based in the United States.

If you are located outside the United States, including in the European Union, European Economic Area, United Kingdom or Switzerland, your personal information may therefore be transferred to or processed in the United States or other countries where my service providers operate.

Where applicable law requires safeguards for an international transfer, I and/or the relevant service provider will rely on an appropriate legal transfer mechanism, which may include an applicable adequacy decision, certification framework or contractual safeguards such as Standard Contractual Clauses.

21. Security

I use reasonable administrative, technical and organizational measures appropriate to the nature of my business and the information I process.

These include limiting access to client information, using controlled local devices and established service providers for business files and communications.

No electronic storage or transmission method can be guaranteed to be completely secure.

For that reason, please do not send highly sensitive or confidential information through an insecure or inappropriate communication channel.

22. Your Privacy Rights

Depending on where you live and which privacy law applies, you may have rights concerning your personal information, including the right to:

  • request access to personal information held about you;
  • request correction of inaccurate information;
  • request deletion of certain information;
  • restrict or object to certain processing;
  • receive certain information in a portable format;
  • withdraw consent where processing is based on consent;
  • opt out of certain targeted advertising, sale or sharing practices where applicable; and
  • lodge a complaint with an appropriate data protection authority.

These rights are not absolute and may be subject to legal exceptions.

I may need to verify your identity before responding to a request.

I will not discriminate against you for exercising a privacy right available to you under applicable law.

23. European, EEA, UK and Swiss Visitors

If European, EEA, UK or Swiss data protection law applies to you, you may have additional rights regarding the processing of your personal information.

Where applicable, you may object to processing based on legitimate interests, request restriction of processing and lodge a complaint with the competent supervisory authority.

You may also withdraw consent at any time where consent is the legal basis for processing.

Nothing in this Privacy Policy is intended to limit rights that cannot lawfully be waived.

Where available to you, you may exercise applicable rights relating to the sale or sharing of personal information or targeted advertising through the Data Sharing Opt-Out page available on this website.

Where required by applicable law and supported by the website, recognized opt-out preference signals, such as Global Privacy Control, may also be treated as a request to opt out for the applicable browser or device.

25. Children's Privacy

Call It Something is intended for adults and my consulting services are not offered to minors.

I do not knowingly collect personal information from children for the purpose of providing consulting services.

If you believe that a child has provided personal information to me without appropriate authorization, please contact me so that I can review and, where appropriate, delete the information.

26. Third-Party Websites and Services

The website may contain links to third-party websites or services.

Those services operate independently and may have their own privacy practices and terms.

I am not responsible for the privacy practices, security or content of third-party websites or services that I do not control.

27. Changes to This Privacy Policy

I may update this Privacy Policy when my business practices, technology, service providers or legal obligations change.

When I make changes, I will update the “Last updated” date at the top of this page and provide additional notice where required by applicable law.

Material changes will apply prospectively as required by applicable law.
